During the year we have implemented 63 software enhancements based on suggestions from YOU, our clients. You can review these changes by clicking the "LATEST SOFTWARE CHANGES" button on the log-in screen. The suggestions break down to Trucking - 25, Payroll - 7, Accounts Receivable - 6, Accounts Payable - 5, Maintenance/Inventory - 4, Dispatching - 3, General Ledger - 3 and General System - 10.

There are two ways changes become part of the software: 1) We keep a record of suggestions for changes that come directly from our clients. We also write down suggestions that we think would help our clients. We compile, review, and rank all the suggestions. Those with the highest ranking are added to the software. 2) Custom, paid changes are done for clients who want a specific change that is not of high priority on the suggestion list or will not add any great overall enhancement to the system as a whole.

AVOIDING W-2 AND 1099 WOES |
While January brings a new beginning for a lot of things, it can also add a lot of stress to our lives. If you are on a calendar year for your accounting, you are rushing to get all the year-end numbers crunched so you can get the information to your accountant. It is also the time of the year that you are required to distribute W-2's to your employees and 1099's to your non-employees.

Sometimes in the rush to close out the previous year, we get careless and don't pay enough attention to details until it is too late. Keystone software offers a very flexible package in that data entry errors can be corrected before you print your W-2's or 1099's. But, there is a catch! Before you close the Accounts Payable and Payroll packages, you need to run preliminary W-2's and 1099's to make sure all the numbers are correct. You can run and/or print either of these reports an unlimited number of times without "messing" anything up! And you can continue processing your regular daily work, such as running a payroll for January or writing checks in AP, without having to "final" anything for December until you are ready. Please take the time to review your W-2's and 1099's before you close Payroll or Accounts Payable for December. Until the package is closed, you still have the ability to change the amounts reported on these forms. If you don't take the time to review the information before closing and discover errors afterward, you will have to manually produce your forms. That could mean hours of typing multi-part forms, without errors. (Not to mention the additional expense if you have to buy more forms.)

By now, most of you will have entered the new rates for Federal Withholding taxes and new rates for your State(s) taxes. If you have not added a new record for your state taxes because your withholding rates did not change, take the time to check your SUTA and Worker's Comp rates. If your SUTA and/or Worker's Comp rates have changed, you should add a new State rate record. All the numbers from the previous year carry forward so all you have to do is edit the numbers that changed. To make sure all your rates are accruing correctly and that the payroll taxes are correct, run your quarterly payroll reports after you do your first payroll for the new year, and check the numbers. It will be much easier to fix any problems you have with your quarterlies before you enter more payrolls and before any months in 2001 have been closed! Pay particular attention to your "taxable" amounts and make sure deductions from 401(k) Plans, Simple IRA's and 125b's are being treated correctly.

In the DOS world we were supporting more than 20 different packages, many of them one of a kind. This included pension fund administration, clothing manufacturing, several inventory systems, soil testing laboratories, stock transfer agents, cable companies, retail clothing stores, and contractors. NOW as we move in the WINDOWS world, we are supporting just two packages, the trucking industry and the battery distributor. This will allow us to focus our energies in these two areas for your benefit and ours.
